Partnership Check-In

One team, one path to 2028.

Our working agenda from the July 27, 2026 conversation, updated with where we landed and what comes next.

01Payments & Process

Payments: reset together.

Thank you for the July 27 conversation. Here's the payment reset, in writing.

Where things stood

  • Our agreement (signed Feb 18) set invoices at net 7.
  • Recent payments arrived 30 to 60 days after invoicing, which pauses major tasks and slows delivery across projects.
  • On July 27, 2026, we met in the middle.

Agreed July 27 + next steps

  1. New terms: net 15. A short confirmation email follows this week; terms get formalized with the September renewal.
  2. Invoices are submitted to Michael Ferrera, CEO, for approval. The refreshed process is confirmed and clear on the client side. We're already set up in Billpay.
  3. Catch-up date for open invoices: confirming this week, so everything restarts clean.
02How Approvals Work

One front door for every request.

The single biggest thing we can do together for speed. Ideas can come from anyone; work starts through one clear lane.

The rule
Work comes from authorized contacts only

Your three: CEO, President, and VP. That's who can green-light requests, approvals, and changes.

→
Everyone else
Warmly redirected, never started

Volunteers, performers, and partners are pointed to your three contacts. No side-channel work, especially during events.

→
Then
Scheduled and delivered

Green-lit requests are prioritized against scope and hours. Urgent items flagged same day.

Keeping timelines honest: feedback and approvals within 3 business days (as in our agreement) keep every project on schedule. When a decision waits, the timeline moves with it.
03The Next Chapter

One structure: base + reserve.

Our recommendation for the renewal conversation this September: an updated scope we agree on together, plus a reserve that covers the extras that always come up.

The Base · Updated SOW

$7,500 /month
  • A refreshed SOW we shape together: remove what you don't need, add what you do.
  • Apollo CRM setup is complete, so those hours transition to sponsorship lead gen.
  • Work inside the SOW keeps moving: 3-business-day feedback window, then we proceed as planned.

The Reserve · For Everything Extra

+ up to $2,500 /month
  • Covers event weeks: rush delivery and requests from every direction, with no time to scope and quote each one.
  • Covers the extras between events too: promo toolkits, sponsor graphics, partner and volunteer requests.
  • Until now these have been absorbed at no charge. The reserve gives them a home, so they get done fast.
Simple guardrail: the month stays between $7,500 and $10,000, and anything beyond the reserve is approved in writing before it happens. Ads, software, developer builds, and event production remain separate external costs.
04Workstreams

Where each workstream stands.

A quick status pass. Items marked awaiting are ready on our side and are waiting on a response from your team, most for about three weeks now.

05Meta Ads

Ready to launch: three ad concepts.

Draft creative for discussion. Next up is the budget conversation: where does ad spend stand today, what's earmarked, and do we want to invest more. Once that's set, these launch within days. Final copy and creative go through brand review.
